Office Rental Conditions 01/08/2025
Rental Period
Our rental agreement with you starts when your initial payment has been received and we have confirmed how to access your office. Offices are available on a first-come, first-served basis and cannot be reserved.
The rental agreement continues until you have vacated, all your contents are removed, the office is clean, you’ve notified us you have vacated and returned all keys. No prior notice will be accepted.
The rental period is for a minimum of 1 calendar month and continues on a rolling basis in minimum 1 month increments. No refunds or credits will be given for part months.
Our rental agreement with you is not transferable to anyone else.
Access to, and use of the office, building and site
You may access the office and building at any time but Indiana reserves the right to restrict access times without giving prior notice.
After 5:30pm you must lock the foyer door after entering and leaving even if others are present in the building. If you fail to lock the foyer door we may make a charge of £50+VAT to attend and secure the building.
You must only use the office for legal purposes.
You must not store dangerous or noxious items, such as firearms, weapons, ammunition, explosives, chemicals, radioactive materials, toxic substances, asbestos, or any potentially harmful item in your office.
You must not do anything that could affect the Landlord’s insurance of the building.
You must not use the office as a dwelling or living space.
You must comply with all safety signs, notices and instructions.
You must drive slowly and responsibly on estate roads and car parks. Vehicles must not be left on site unattended without prior arrangement.
You must keep the office tidy and in good condition and not make any alterations, including fixing items to the walls, doors or windows. You must not display any advertising or signboards other than those provided by Indiana.
You must not alter or interfere with any systems in the office including electrical distribution, lighting, heating, smoke detection, security, data cabling, door locks and windows.
You must not make copies of any keys issued to you and you must not share access codes (such as wi-fi or bin store) with anyone apart from your staff.
You must inform Indiana of any damage or defect in your office.
If you cause any damage to the office or the building you may incur charges up to the full value of the damage caused.
Please report any safety concerns or any incidents or accidents on site.
Recorded CCTV is in use throughout the site for the purpose of site safety, security and crime prevention.
You must use the site, building and office with all due consideration to other users.
In exceptional operational circumstances Indiana may require you to move to an equivalent office. In these circumstances we’ll try to give as much notice and assistance as we can.
Indiana or its contractors may enter your office at any time for the purposes of inspection, maintenance, repair, safety or security.
Limit of Indiana’s liability (except due to our negligence)
The site, building and office is used at your own risk. You are responsible for your own safety and the safety of your staff and visitors. Indiana accepts no liability for death or injury to any person in connection with use of the site, building or office.
Indiana accepts no liability for any loss or damage to your office's contents. It is up to you to insure the contents if you wish to do so.
Indiana accepts no liability for any loss, consequential loss or disruption to your business caused by failure or inadequacy of any system of lighting, power, heating, data, telephone, internet, plumbing, fire protection, intruder control or other services to the office, building or site.
Payment of rent and services
Invoices will be sent by email 28 days in advance of each new rental period.
Payment must be received before each new rental period starts (the invoice due date).
If you intend on vacating you must do so before the invoice becomes due, otherwise payment is required for the whole of the new rental period. No refunds or credits will be given for part months.
Payment is acceptable by bank transfer only.
It is up to you to update your personal details with us.
Lockout
If you become more than one month in arrears the office will be locked out and a charge of £50+VAT will be made to cover our attendance on site. Access will only be allowed once fees are brought up to date. Rental fees continue to accrue whilst the office is locked out. Anyone found trying to access a locked out office will be reported to the Police.
Termination by Indiana
This agreement may be terminated by Indiana at any time with 1 month prior notice by email.
If 3 months of fees are unpaid the rental agreement will be terminated by Indiana without prior notice and you give up any right to claim possession or ownership of the contents of the office.
Indiana will treat any contents left in the office after termination date as abandoned and may dispose of them, sell them or pass ownership of them to discharge costs associated with clearing the office and any outstanding fees. Notwithstanding this Indiana reserves the right to claim all reasonable costs in the clearing of the office, disposal/sale of contents and recovery of outstanding fees.
Our rental agreement with you is granted on the express understanding that it is outside Part II of the Landlord and Tenant Act 1954 and on termination you shall not be entitled to any compensation under Section 37 of that Act. If you are in doubt you should take legal advice before agreeing to these conditions.
These rental conditions and our prices are subject to regular review and may be updated at any time to reflect prevailing circumstances. Any updates will be advised by issuing notice by email and/or post to your office. By continuing in occupation you are accepting those updated rental conditions.
